Booking rules
Cutoffs, cancellation windows, the booking horizon and how admins override them.
Rules are set once in Company details and enforced in the member app.
| Rule | Effect for members |
|---|---|
| Booking cutoff | The Book button disappears X hours before start. |
| Cancellation cutoff | Cancelling inside the window is a late cancel: the credit is consumed. |
| Booking horizon | Sessions beyond N days ahead are visible but not bookable. |
| Package scope | Only sessions at the package's branches and class families can be booked with it. |
| Frozen package | A frozen package cannot book; existing bookings stay. |
Admin overrides
Admins can book, cancel and check in regardless of cutoffs. Every override is written to the member's activity log with the admin's name, so the front desk can be generous without losing the audit trail.
What consumes a credit
- A booking made from a package — at booking time.
- A late cancel — the credit is not returned.
- A no-show — the credit is not returned.
Free sessions and walk-ins never touch package credits.
